Booking and fares

Is the price really fixed?

Yes. The fare on your confirmation is the total you pay for the journey as booked. Traffic, weather, road closures, the time of day and how long the journey takes make no difference. Tolls, congestion and clean-air charges, airport pick-up fees, Meet & Greet and 60 minutes' airport waiting are all included. There are no card fees, night surcharges or bank-holiday premiums.

How do I get a quote?

Enter your pick-up, drop-off and date on the booking page for an instant fixed fare, or send the same details by WhatsApp or phone. A quote isn't a booking until we've confirmed it with a GLT- reference.

How much is a transfer from Heathrow to central London?

From £55 one way in a saloon car, fixed at booking. Gatwick to central London is from £75. Sample fares for our most-booked routes are on the routes page; your exact fare depends on the pick-up and drop-off addresses and the vehicle.

How far in advance should I book?

We take bookings up to the moment of travel subject to availability, but for airport pick-ups we recommend at least 24 hours' notice, and for cruise, long-distance and group journeys 48 hours. Booking early also lets us fit child seats and allocate the right vehicle.

Can I book a same-day or last-minute transfer?

Often, yes — call us on 020 8888 9988 rather than emailing so we can check a driver's availability immediately. Same-day bookings depend on where the vehicle is at the time.

What will I receive after booking?

A confirmation email with your fare, what's included, your GLT- reference and the details you gave us. Before travel you'll receive a second email with your driver's name, phone number and the vehicle's make, colour and registration.

Do you cover airports outside London?

Yes — any UK airport, cruise port or address. Heathrow, Gatwick, Stansted, Luton and London City are our home ground, but we regularly drive to and from Birmingham, Manchester, Bristol, Southampton and beyond.

Can I book a return journey?

Yes, and it's the easiest way to make sure both legs are covered. Give us both dates and times when you book and we'll confirm both fares on one reference.

Airport pick-ups

Where will my driver meet me?

Inside the terminal, in the arrivals hall, holding a board with the lead passenger's name on it — at every airport and every terminal. Walk through after baggage reclaim and customs and look for your name. Meet & Greet is included in every airport fare.

Do I need to tell you my flight number?

Please do. It's how we track your flight and move your pick-up time if you land early or late. Without it we can only go by the scheduled time.

What happens if my flight is delayed?

Nothing you need to do. We track the flight, and your driver's arrival is timed to the actual landing, not the scheduled one. There's no charge for delays.

What if my flight lands early?

We see that too. In most cases your driver will already be in the arrivals hall when you walk through; occasionally with a very early landing there may be a few minutes' wait.

I've landed and can't see my driver. What do I do?

Stay in the arrivals hall and call the driver's number in your driver-details email, or ring us on 020 8888 9988. Don't leave the meeting area to look outside, and never accept a lift from anyone who approaches you claiming to be your driver.

Which terminal will my driver be at?

The one your flight arrives at. Heathrow has four (2, 3, 4 and 5) and Gatwick has North and South, so check your ticket or the airline's app and tell us. We check the terminal ourselves when we track the flight, but your own confirmation helps.

Is parking included?

Yes. Airport pick-up fees and short-stay parking while your driver waits in arrivals are part of the fare.

Do you do drop-offs at the airport too?

Yes. For departures your driver collects you from your door and drops you at the terminal's drop-off point. Please allow time for check-in and security; we're happy to advise on a pick-up time.

Waiting time, delays and no-shows

How long will the driver wait at the airport?

60 minutes from the actual landing time, free. After that, waiting is charged at £10 per 15 minutes. If you know you'll be delayed — a long immigration queue, a lost bag — call us and we can often hold the driver at no charge.

How long will the driver wait at a home or hotel pick-up?

15 minutes from the booked pick-up time, then £10 per 15 minutes. If you're running late, a quick call keeps the driver with you.

What counts as a no-show?

The driver has arrived at the agreed place and time, waited for the included waiting time, and we have been unable to reach you on the number you gave us. A no-show is charged at the full fare. It's almost always avoidable: call us if anything changes, and make sure your phone will work in the UK.

What if my flight is cancelled or diverted?

Tell us as soon as you know. We'll move the booking to your new arrival wherever we can at no charge, and if we can't, we'll treat it as a cancellation counted from the moment you told us — see our cancellation terms.

What if there's heavy traffic on the way to the airport?

Your fare doesn't change. We plan pick-up times with normal traffic in mind and will suggest a safe departure time if you ask. For a flight you can't afford to miss, we recommend allowing extra time and taking out travel insurance.

Paying, deposits and refunds

How can I pay?

By card in full when you book (through Stripe), by a 30% card deposit with the balance before or at travel, by PayPal, or in cash to the driver in pounds sterling where that option is offered. Business customers can open an account with monthly invoicing.

How does the deposit work?

You pay 30% of the fare by card when you book. The balance is due before or at the time of travel by the method shown on your confirmation; we'll send a reminder before the journey. The deposit is fully refunded if you cancel more than 24 hours before pick-up.

Is it safe to pay by card on your website?

Yes. Card payments are handled on Stripe's secure pages and PayPal payments on PayPal's. Your full card number never reaches our servers, and we never see it.

Will I get a receipt or invoice?

A receipt is emailed automatically for every card or PayPal payment. VAT invoices, and receipts for cash journeys, are available from support@getlondontransfer.co.uk.

How long do refunds take?

We confirm the refund in writing and it goes back to the card or PayPal account you used, normally within 5 to 10 working days depending on your bank.

Do I need to tip the driver?

No. Tips are never expected and never included in the fare. If a driver has been particularly helpful, they'll be grateful, but it's entirely up to you.

Changing or cancelling

Can I change my booking?

Yes — time, date, addresses, flight number, passengers, luggage or vehicle. Changes are free and subject to availability. If a change affects the fare, we tell you the new fare before confirming, and you can keep the original booking instead. On the day of travel, phone rather than email.

What is your cancellation policy?

Cancel more than 24 hours before pick-up and you pay nothing — everything you've paid, including any deposit, is refunded. Between 24 and 6 hours before, 50% of the fare is payable. Less than 6 hours before, or once the driver has been dispatched, the full fare is payable. Full details are in section 7 of our terms.

How do I cancel?

Phone, WhatsApp or email us with your GLT- reference. Cancellation takes effect when we receive it, and we'll confirm it in writing.

What if you cancel on me?

It's rare, and if it ever happens we'll tell you as early as possible, refund everything you've paid in full, and help you find an alternative.

Vehicles, luggage, children and accessibility

Which vehicle should I choose?

Saloon for up to four passengers with two large cases; Executive for up to three in a premium car; MPV for up to six with four large cases; 8-seater minibus for up to eight with a case each. The fleet page has a table that matches passengers and luggage to the right vehicle, and we'll always advise if you're unsure.

How much luggage can I bring?

A large suitcase is anything you'd check in on a flight. A saloon takes two, an MPV four and a minibus eight, plus cabin bags. Golf bags, skis, bikes and instruments are welcome — tell us at booking so we send the right vehicle.

Do you provide child seats?

Yes, on request when you book — tell us each child's age. UK law allows a child to travel in a licensed private hire vehicle without a seat if one isn't available (under-3s in the rear only; older children in the adult belt), but we recommend booking a seat every time.

Can I travel with a wheelchair or mobility scooter?

Folding wheelchairs and folding scooters go in the boot of every vehicle class. If a passenger needs to stay in their wheelchair for the journey, or needs door-to-door assistance, tell us when you book and we'll confirm exactly what we can provide before you commit.

Can I bring my dog?

Assistance dogs travel free in every vehicle, always. Other pets are welcome in a suitable carrier by arrangement — mention it at booking so we allocate the right car and driver.

Are the drivers licensed?

Every driver holds a private hire driver's licence from their licensing authority — in London that means an enhanced DBS criminal-record check, a medical and right-to-work checks before a licence is issued. Every vehicle is licensed for private hire and insured for hire and reward.

Can I smoke or eat in the car?

Smoking and vaping aren't allowed in any private hire vehicle — it's the law. Please ask the driver before eating.

Cruise, long distance and events

Do you go to Southampton cruise port?

Yes — to every Southampton terminal (City, Horizon, Mayflower, Ocean and QEII), and to Dover, Portsmouth, Harwich, Tilbury and Liverpool, from any London airport or address. Tell us the ship or terminal name and we'll take you to the right door.

Is there room for cruise luggage?

Cruise passengers usually carry more than an airline allowance, so we recommend an MPV for two to four people with full luggage and a minibus for larger parties. Tell us the number of cases and we'll send a vehicle that takes them all.

Can you take me to another city — Birmingham, Manchester, Bath?

Anywhere in Great Britain, one car and one driver from your street to theirs. London to Birmingham is from £210 and London to Manchester from £320 in a saloon. See city to city.

Do you do stadium and concert transfers?

Yes — Wembley, Twickenham, the Emirates, Tottenham Hotspur Stadium, Stamford Bridge, London Stadium, The O2 and more. We drop you as close as the event's traffic plan allows and pick you up from an agreed point afterwards, so there's no midnight scramble for a ride home. See events.

Can I add a stop on the way?

Yes. Tell us at booking or before travel and we'll quote for the extra distance; the fare stays fixed once agreed. Stops requested on the day are added at the same rate, agreed with you first.

Business accounts

Do you offer corporate accounts?

Yes: executive cars on account, monthly invoicing, a named contact and priority dispatch for companies that book regularly. Email support@getlondontransfer.co.uk to set one up. See business travel.

Can my assistant book on my behalf?

Yes. Anyone can book for someone else — just give us the traveller's name and mobile number as the lead passenger so the driver's board and on-the-day calls reach the right person.

Can I get one invoice for several journeys?

Account customers receive a single monthly invoice listing every journey, reference and fare. Individual VAT invoices are available on request.
